CVs from multiple sources. Interview notes saved in email drafts. Offer letters prepared manually. Candidate data scattered across inboxes and shared folders - much of it subject to GDPR retention requirements that nobody is actively managing. DocuWare brings the entire recruitment process into one automated, compliant system - from the moment an application arrives to the moment a candidate is hired or declined. ## How DocuWare handles applicant tracking #### Automatic application capture Applications captured from any source - email, job boards, or web forms - without manual collection. Every CV, cover letter, and supporting document indexed automatically by role, candidate name, and stage. #### Process routing and screening Applications routed automatically to the relevant hiring manager for review. Status updated at each stage. No chasing, no forwarding, no confusion about where a candidate sits in the process. #### Interview notes and feedback Interview notes and assessor feedback captured and filed against the candidate record as the process progresses. A complete, searchable record for every applicant. #### GDPR-compliant retention Candidate data is sensitive personal data. DocuWare supports configurable retention policies - ensuring unsuccessful candidate records are held only as long as required, and deleted automatically when the retention period expires. #### Integration with existing HR software DocuWare can work alongside your current HR system or, where preferred, replace it. The right approach depends on what your current setup does and does not do - and that is the conversation we start with. ![tracking-software](https://www.keeley-travis.co.uk/hs-fs/hubfs/Images/tracking-software.webp?width=1398&height=685&name=tracking-software.webp) ## What You Can Expect A single, searchable record for every applicant across every active role No missed applications or misfiled CVs A faster, more consistent recruitment process regardless of hiring volume GDPR-compliant candidate data management with automated retention [![Book A Discovery Call ](https://hubspot-no-cache-eu1-prod.s3.amazonaws.com/cta/default/147792866/interactive-395221386469.png)](https://www.keeley-travis.co.uk/hs/cta/wi/redirect?encryptedPayload=AVxigLJJWQwS%2Bp1OLJditk6vU9LpLPjnc4sxkReGKP6g5HgrlsKCdJw0COSxtUJMGwMKgeCFsicmSl59fqlrSrCebKK6Y0fYpM%2Bs2XMZfCRuUnKgtXO6ufovkkqdTHQrV1cbtcM3dLUSmWblkhX3Wt4dHhkLHC7sqcH9mvN0GOwwPxh%2Fge%2FMJelF5m9ColycMzBqKbuD3mJhBUWI2s%2Bfk5jzI%2Fzq92Pe97Uyt8%2FwdzFrCwdq&webInteractiveContentId=395221386469&portalId=147792866) ## Common Questions How does it handle CVs received by email? DocuWare captures and indexes them automatically from a nominated inbox. No manual saving or filing required. Can we set a deletion schedule for unsuccessful candidates? Yes. Retention periods are fully configurable - documents are deleted automatically when the period expires. Does it work with our existing HR software? Yes. DocuWare can integrate alongside your current HRIS, or replace it depending on your requirements. Both approaches are achievable. Is candidate data kept securely? Yes. Role-based access controls mean only authorised users can view candidate records, and every access action is logged. ## Who we have helped ![kz-white@2x](https://www.keeley-travis.co.uk/hs-fs/hubfs/Images/Logos/kz-white@2x.webp?width=3419&height=642&name=kz-white@2x.webp) #### Kids Zone Nursery Group Staff recruitment and training record management across multiple sites. ![ljm-60714225](https://www.keeley-travis.co.uk/hs-fs/hubfs/Images/Logos/ljm-60714225.webp?width=166&height=90&name=ljm-60714225.webp) #### LJM Homecare Carer recruitment, onboarding and probation management.
