Printing contracts. Posting handbooks. Chasing returned forms. Manually creating employee records from information scattered across emails and attachments. For HR teams, onboarding is one of the most administratively intensive moments in the employee lifecycle - and one of the most visible to the person joining. DocuWare automates the entire onboarding process, from offer acceptance to a fully populated employee record, without a single piece of paper. ## How DocuWare automates onboarding #### Automatic onboarding pack distribution The moment an offer is accepted, DocuWare triggers the onboarding process automatically. Employment contracts, company handbooks, compliance documents, and any required forms are sent to the new starter digitally - without any manual preparation. #### Digital document signing New starters can sign contracts and complete onboarding forms digitally. For non-legally binding documents, e-signature is available natively within DocuWare. For legally binding signatures - employment contracts, NDAs, and similar - DocuWare integrates with DocuSign and ValidatedID. #### New starter document capture Right to work documents, ID, bank details, and other required submissions are captured and stored automatically in the employee record the moment they are received. No chasing. No manual filing. #### Task completion tracking Every step of the onboarding process is tracked. If something is outstanding - an unsigned form, an unsubmitted document - DocuWare flags it and sends a reminder automatically. #### Employee record population By the time a new starter walks through the door, their employee record is already complete - populated automatically from the documents submitted during onboarding. #### HRIS integration DocuWare integrates with your existing HR information system, ensuring onboarding data flows into your current platform without duplication or manual transfer. ## What You Can Expect [![Book A Discovery Call ](https://hubspot-no-cache-eu1-prod.s3.amazonaws.com/cta/default/147792866/interactive-395221386469.png)](https://www.keeley-travis.co.uk/hs/cta/wi/redirect?encryptedPayload=AVxigLJixLHzXD8YqOiuM6yBHqY50KvRzAPnLn8eWxPfBzhvSHtx9ncIPZTkbjHI5bV7wgGdSXJjLWYTGfuHyJMwvR9e7muvhRep8kmtzpLGdX1zX74PvjIkPRXqA8OMMIabo14PQaSXNZwri4lvEKOGFW5%2F5oM8IXf1WYFj7iRSXkDIwTdDI4dmTuwq45VPw0xrrXy2AcAFoTQV8P96y1Hc%2FMD8P0DbiPscvDCikKO4brp2&webInteractiveContentId=395221386469&portalId=147792866) Onboarding paperwork completed before the new starter arrives A complete, compliant employee record from day one A professional, digital-first first impression for every new joiner Significant reduction in HR admin time across every new appointment ## Common Questions Can new starters sign their contract digitally? Yes. DocuWare supports digital signing natively for non-legally binding documents. For legally binding e-signature, it integrates with DocuSign and ValidatedID. Does it integrate with our HR system? Yes. DocuWare integrates with most HRIS platforms, ensuring data flows between systems automatically. What if a new starter does not complete their documents on time? DocuWare sends automated reminders and flags outstanding tasks - so nothing gets missed and the HR team does not have to chase manually. Can we capture right to work documents digitally? Yes. All onboarding documents - ID, right to work, bank details - are captured and stored automatically in the employee record. ## Who we have helped ![kz-white@2x](https://www.keeley-travis.co.uk/hs-fs/hubfs/Images/Logos/kz-white@2x.webp?width=3419&height=642&name=kz-white@2x.webp) #### Kids Zone Nursery Group Digital staff onboarding and records management across multiple sites. ![ljm-60714225](https://www.keeley-travis.co.uk/hs-fs/hubfs/Images/Logos/ljm-60714225.webp?width=166&height=90&name=ljm-60714225.webp) #### LJM Homecare Carer recruitment, onboarding and probation management.
